Mortgage Coordinator-Administrator

Get a Better Mortgage is a leading mortgage company headquartered in Toronto.

We are recruiting for a full-time Mortgage
Coordinator-Administrator
for our Toronto office. The ideal
individual for this position will be professional, efficient and highly
organized with a strong focus on customer service. A proven ability to
build and maintain strong relationships and a can-do attitude and enthusiasm
for the job and people are absolutely essential for success in this position.

Mortgage Coordinator-Administrator Role:

Requirements:

  • College Diploma in a related field and/or
  • Entry Level to 2 years related experience in the
    mortgage industry preferred
  • Strong computer skills and proficient in the Microsoft
    Office Suite (Word, Excel, Outlook, Internet Explorer/Firefox),
  • Experience in using Facebook/Twitter for Social Media
  • inContact and Expert/Filogix an asset
  • Superior organizational skills with the ability to
    multi-task
  • A creative and entrepreneurial outlook with an
    ambition to succeed
  • Excellent customer service skills
  • Strong communication and writing skills
  • Reporting Analysis skills
  • Strong Interpersonal skills
  • Mortgage Industry knowledge required
  • Project management experience an asset
  • Ability to excel in a high growth environment with
    tight timelines and changing priorities
  • Ability to pay close attention to detail

 

Key Responsibilities

Payroll/Accounting

  • Responsible for
    receiving/validating and entering mortgage commissions/broker fees into a
    spreadsheet for manipulating and extracting to payroll
  • Create payroll sheets and
    ensure monthly charges are applied as well as industry compliance practices are
    completed
  • Ensure there are no outstanding
    receivables
  • Produce month-end Volume Bonus
    report
  • Prepare cheques for payment of
    accounts payables and prepare month-end requirements for accountant
  • Responsible for creation of
    timesheets and weekly pay of inhouse staff
  • Review incoming lender points
  • Ensure all above-noted
    paperwork is filed in binders accordingly

Day-to-Day Office

  • Order office supplies
  • Prepare courier orders
  • Contact person for all IT and Telephone issues

Marketing

  • Order, track and maintain marketing materials inventory
  • Keep marketing report up to date
  • Printing and shipment of marketing
  • Ensure all above-noted
    paperwork is filed in binders accordingly

Human Resources

  • Register and maintain mortgage
    agents/brokers and new hires on: The Mortgage Centre Broker Intranet system as
    well as update FSCO, CAAMP and Equitable Life Benefits program
  • Ensure Consultant Agreements
    and all required licensing documentation has been signed/received on hiring
  • Update telephone lists as well
    as telephone equipment with new hires where applicable
  • Ensure all above-noted
    paperwork is filed in new hires files accordingly

Communications

  • Prepare
    weekly/daily lender rate correspondence to distribute to sales and broker
    network
  • Update GABM
    website with lender rates and office communications
  • Prepare weekly/daily mortgage industry
    news announcements
  • Update Office
    Outlook calendar of events and meetings and notify all participants involved
  • Manage and maintain CRM contact
    database and send out correspondence
  • Prepare, analyze and update
    activity (marketing/social media) communications & reports
  • Prepare correspondence using
    Word-Mail Merge
  • Prepare mass mail outs using
    Excel/Word

Advertising

  • Create advertisements for Get a
    Better Mortgage for various publications
  • Ensure all above-noted
    paperwork is filed in binders accordingly
